Resource allocation

Plan how many hours each person is committed to each project, spot who is over-committed, and find people with spare capacity.

What you can do here

  • Plan how many hours each person owes each project, over a month or across a timeline.
  • See how loaded everyone is, and catch over-commitment before it turns into a missed date.
  • Compare what you planned against what actually happened.
  • Find people with the right skills who have room.

Five ways to look at the same plan

Resource Allocations offers five views, and they answer different questions:

  • Compact — the dense grid. Best for scanning a lot of people at once.
  • Cards — one card per person, easier to read for a small team.
  • Heatmap — colour by load, so over-commitment jumps out without reading a single number.
  • Timeline — allocations as bars across dates, which is how you spot overlaps and gaps.
  • Variance — planned against actual. This is the one that tells you whether your planning is any good.

Above them: a business-unit filter (All BUs, AtliQ, IdeaTick, Common), a month picker with a way back to today, and Search members....

Common tasks

Allocate someone

  1. Add an allocation.
  2. Pick the Team Member and the Project.
  3. Set the Start Date and End Date, and the Hours.
  4. Optionally add a Role and Notes — worth doing, because "40 hours" tells the next planner nothing about what for.
  5. Save.

The hours become a percentage of that person's capacity for the period. If the allocation would take them past 100% you'll be warned, but you can still save it — the tool assumes you know something it doesn't.

Change or remove one

Click the allocation — a cell, a bar, or a row, depending on the view — and edit its hours or dates, or delete it.

Find someone with room

Open Find Available Resources. Choose the Skills you need, a minimum availability, and a date range with From and To. The search returns people who match and have the capacity, so you're not guessing from the grid.

Good to know

  • Allocation is a plan; time logs are the record. Allocating someone 20 hours doesn't create a timesheet entry and doesn't stop them logging something else. Variance is where the two meet.
  • Over-allocation is a warning, not a block. That's deliberate — but an over-100% person is a commitment somebody will have to break.
  • You can always plan your own allocations. Planning for other people needs the matching access, which is why the grid may look read-only to you.
  • Allocating someone to a project is not the same as adding them to its Team. Project membership is what lets them log time to it.
